A WhatsApp form opens inside the chat. The customer fills it in without leaving WhatsApp — a booking, a sign-up, a short survey — and the answers come back to the conversation.

Make a form

  1. Open Automation and choose the WhatsApp forms tab. It appears once a WhatsApp number is connected.
  2. Press New form. Pick Build your own, or one of the 13 ready forms — four marked by Meta, and ours, such as Hotel or villa booking, Restaurant table, Appointment or Offers on WhatsApp. With more than one number, choose it under Number first.
  3. Change what you need: the Form name, each field’s words, Required and its choices, + Add a field, + Add a step for another screen, and the Final button. The phone beside the editor is a live preview — try it.
  4. Press Save as draft.

Publish it

  1. On the form’s page, press Publish at Meta. If Meta finds problems, they are listed under the buttons and nothing is published.
  2. A form that still shows example terms (such as Collect purchase interest) can’t be published until you write your own — press Edit.

Send it

  1. From the Inbox: in a WhatsApp conversation, press Form among the reply box’s buttons, choose a published form, change the Message above the button and the Button if you like, and press Send form.
  2. From an automation: on the Visual editor, add the step Send a WhatsApp form, choose the form and how long to Wait for the answer (1 to 24 hours). The step has two exits: When it is answered and No answer. On a published form’s page, Use in an automation starts one for you; if your package doesn’t include the Visual editor, it says which one does.

Read the answers

  1. The answers arrive in the conversation as a card, and the conversation list shows 📋 Form answered.
  2. The form’s page is its log. Sent, Answered, Waiting and No answer are counts and filters; narrow it further with Sent by anyone, Last 7 days / Last 30 days / All time and a search by customer name or number. Open a row for every answer, Open conversation, Copy answers and — when there was no answer — Send again.

Turn off or delete

  1. Turn off closes a published form to customers for good; it can’t be turned back on. A published form can’t be changed either: press Copy into a new form, then turn the old one off.
  2. Delete asks first and says what will happen. The form’s log goes with it; answers already received stay in each conversation. Automations that use it are named, and their Send a WhatsApp form step stops until you pick another form.

Good to know

  • A form goes out only within 24 hours of the customer’s last message, from the form’s own number. In the log it waits 24 hours for an answer, then shows as No answer — a late answer still counts.
  • A customer who ticks the box in Offers on WhatsApp becomes Subscribed in Customers › All customers, with the form as proof — as long as the box keeps its words, and never for someone who said STOP.
  • Owners, admins and managers make and send forms; agents don’t see them.
  • In the phone app, Menu › Automations has the WhatsApp forms tab with your forms and their logs, and a WhatsApp conversation can send a form. Build your own and publishing are on the web.
